For Craft Music teachers

Teacher manual

One searchable handbook for Teachworks, website bookings, in-home and online teaching, Muse / Hi-Fi, payouts, and everyday coordination.

Master edition 2.0 · September 11, 2026 · consolidates handbook, teacher guide, and training emails

Start with the booking, not just the lesson format

Welcome to Craft Music. This library helps you prepare, teach, communicate, and keep lesson records accurate. Start here, then read the guide for the system used by your assigned students.

Important

Craft Music uses two separate systems. Your Craft Music website account is not your Teachworks account.

Teachworks roster

Manage the lessons assigned to you in Teachworks through the Teachworks calendar and completion workflow.

Website bookings

Manage lessons booked through craft-music.com in your website teacher account, including the lesson room, Lesson Hub, and applicable website payout workflow. The website can also receive in-person requests.

Do not create the same lesson in both systems. Do not move a student between systems or payment channels just because a lesson changes from in-home to online. Ask admin which record remains authoritative.

Your learning path

  1. Read Start here and the service standards.
  2. Read Onboarding & scheduling essentials (Mailchimp + policy distilled).
  3. Read Teachworks manual if you have Teachworks students.
  4. Read Website teacher account + the illustrated walkthrough if you have website bookings.
  5. Read Muse / Hi-Fi before an online production or DAW lesson.
  6. Use the checklists and practice scenarios with your coordinator.

Allow approximately 45–60 minutes for an initial walkthrough, plus an audio test if needed. This is a suggested onboarding session, not a contractual time requirement. A coordinator should verify the practical steps with a test example, not a live student booking.

Reliable links and support

A website login may be required for account pages. Never share your login or another person’s invitation link.

Service standards

Confirm the exact date, time, time zone, duration, student, and lesson location or room before teaching. Keep a predictable schedule where possible. If something changes, communicate promptly and update the correct calendar after agreement.

Teach to the student's goals and level. Finish with a manageable practice task and a clear next step. Report an unresolved scheduling problem or a student who may stop lessons to admin promptly so we can help.

Craft-introduced student bookings and payments stay with Craft under the applicable agreement. In-home scheduling emails or texts with a family are not permission to arrange private lessons outside Craft. For website bookings, use the supported website workflow and messages. In joint teacher-family emails, leave out rates, discounts, commissions, invoices, and other money matters; discuss those separately with admin.

Policy and payment boundaries

In-home / Teachworks pay

  • Teachers will receive Melio links (Melio/ACH) for compensation.
  • Teachers receive their payments the following month, within the first seven days of that month.
  • The standard notice window is 24 hours for in-home lessons and 12 hours for online lessons. The in-home 24-hour standard is intended to be flexible, with exceptions at the discretion of admin in coordination with the teacher. Communicate as soon as a change is known, even when the full notice window is not possible.
  • Teachers may discuss an alternative time directly with the client and reschedule by mutual agreement, including when a request falls inside the notice window. Keep admin informed and update the agreed occurrence in the correct calendar. An agreed reschedule does not automatically waive a fee or change teacher compensation; confirm any financial exception with admin. If displayed booking terms differ from this guidance, ask admin to resolve the discrepancy before making a financial promise.
  • Use the actual lesson outcome, not a desired payment result, when recording attendance. Complete lesson records promptly and review month-end sign-off requests. A signed-off lesson, an available payout balance, a payment submitted to a provider, and money received in your bank are different stages.
  • In-home / Teachworks pay: you will receive Melio links. Payments are Melio/ACH. Teachers receive their payments the following month, within the first seven days of that month. Website payouts use Stripe Connect in your teacher account. Do not submit bank details by ordinary email or text, and do not assume every payment arrives instantly.

Protect students and colleagues

  • Use only the information needed for the lesson. Keep family addresses, contact details, lesson links, student records, and teacher financial information out of public or broadly shared training material. Use fictional examples in demonstrations. Before sharing a screen, close private tabs and notifications and share a specific window rather than your entire desktop when possible.
  • Do not record or distribute a lesson merely because a recording button is available. Follow Craft's recording requirements and obtain the required permissions before recording or sharing student media. Ask admin if unsure. Send sensitive incidents privately to admin, not to a group thread.

Chapter 01

Onboarding & scheduling essentials

Distilled from Craft Music’s Teachworks Intro, Scheduling & Policy, and teacher reminder emails — updated to match current practice.

What the onboarding emails cover

Craft Music sends Teachworks and scheduling guidance by email when you join. Those messages are summarized here so everything lives in one searchable place. If an old email disagrees with this handbook or your agreement, follow this handbook and ask admin.

Teachworks in one minute

Teachworks is the portal for students assigned to you in the Teachworks roster: https://craftmusic.teachworks.com/. Use the invitation for your Teachworks account — it is separate from your craft-music.com login.

In Teachworks you confirm contact details, read the calendar, mark lessons Attended / Cancelled / Missed, reschedule agreed lessons, track history, and complete month-end sign-off.

  1. Open your Teachworks invite and sign in at craftmusic.teachworks.com.
  2. Confirm your name, contact information, and assigned students.
  3. Open the calendar and verify upcoming lessons before teaching.
  4. After each lesson, record the truthful outcome promptly.
  5. At month-end, review the date range, fix discrepancies, then sign off.

Product UI tutorials: https://www.teachworks.com/tutorials/all — treat older videos as historical if they conflict with this handbook.

Rescheduling in Teachworks (from training emails)

  • Reschedule only when it works for you and the family, and keep admin informed.
  • Open the lesson → Edit (or carefully drag-and-drop), then verify every field after saving.
  • Choose the correct scope: this occurrence, this and future, or the whole series.
  • Never delete a lesson just to hide a cancellation or force a payment outcome.
  • If the lesson is invoiced, paid, or locked, ask admin how to correct it.

Cancellation & notice standards

Standard notice: 24 hours for in-home lessons; 12 hours for online lessons. The in-home 24-hour standard is flexible, with exceptions at admin discretion in coordination with the teacher.

Copy admin on cancellations and reschedules — student-side or teacher-side. Same-day student cancellations may still compensate the teacher depending on circumstances; do not invent a billing outcome yourself.

If you will be away (vacation, tour, extended absence), notify admin early so we can plan Zoom alternatives or a substitute. A proposed substitute is not confirmed until cleared.

Pay timing (current)

In-home / Teachworks compensation: after month-end sign-off, you will receive Melio links. Complete payment through those Melio (ACH) links — do not send bank details by ordinary email or text.

Teachers receive their Melio payments the following month, within the first seven days of that month.

Website lesson payouts use Stripe Connect in your teacher account. A signed-off lesson, an available balance, a submitted payout, and money in your bank are different stages.

Older Mailchimp messages may mention other payment apps. Current in-home process is Melio/ACH unless admin tells you otherwise.

Family studio guidelines

Families have a public in-home lesson guidelines page covering readiness, 24-hour notice, parking/access, pets, and makeups. Point them here when useful: https://craft-music.com/page/in-home-studio-guidelines

Chapter 02

Teachworks manual

For teachers with students assigned in Teachworks. Reviewed September 6, 2026.

1. Get into the correct account

Open https://craftmusic.teachworks.com/ and use your Teachworks invitation and account. Your website credentials may be different. If the invitation is missing, expired, or attached to the wrong email, ask admin for help. Do not create another teacher record to solve a login issue.

Check that the account shows the correct teacher name and assigned students. Confirm your contact information with admin and review your upcoming lessons. Available menus and editing rights can differ by role. If a control described here is missing, ask admin rather than using another person’s login.

2. Read the calendar before changing it

Open the lesson and verify the date, start and end time, duration, teacher, student or participants, service, location, and current status. Check nearby bookings and travel time. When you are coordinating across regions, explicitly confirm the time zone with the family and admin.

Before creating a new event, search for an existing lesson at that time and check whether it belongs to a recurring series. A trial is not automatically a confirmed recurring appointment. A family’s interest in a different time is not a completed reschedule.

3. Confirm or arrange a first lesson

  1. Confirm the student’s needs and agreed duration with admin.
  2. Confirm the exact day, date, start time, time zone, and location with the family.
  3. Verify that the correct family and student record already exist. Ask admin to create or correct missing records and home locations.
  4. Have the lesson entered in the authoritative calendar using the admin-approved service and participants.
  5. Reopen the saved event and verify all details. Check for duplicates and conflicts.
  6. Send or request the joint scheduling confirmation. Include only the logistical information relevant to those recipients; discuss money separately.

For siblings, a longer lesson, or combined bookings, do not guess the service code or rate. Ask admin to confirm the service and each child’s time allocation before changing the record.

4. Reschedule safely

  1. Read the most recent correspondence before following up. Confirm the new time with the family and let admin know.
  2. Open the existing event and use its edit controls. If your calendar allows drag-and-drop, verify the resulting details just as carefully.
  3. Check the scope: this occurrence, this and future occurrences, or the whole series. Change only the agreed scope. Do not alter past lessons when the request is going forward.
  4. Preserve the student, teacher, location, service, and financial settings unless admin has approved a related change.
  5. Save, reopen, and inspect both the old and new dates. Confirm that the old slot is no longer scheduled when it should not be, and that there is only one intended lesson at the new time.
  6. Confirm the final details with the family and admin. If the change is incomplete or a conflict remains, say so clearly.

Do not delete a lesson simply to conceal a cancellation or replace a financial record. If the lesson is already invoiced, paid, or locked, ask admin how to correct it.

5. Cancellations, illness, and no-shows

Communicate as soon as a change is known. For in-home lessons, the standard is 24 hours’ notice for both teachers and students, with flexibility and exceptions at the discretion of admin in coordination with the teacher. For online lessons, the standard notice window is 12 hours. Give admin the original lesson details, who requested the change, when notice was received, the reason if volunteered, and whether a new time was actually agreed.

The teacher may talk with the client and agree on an alternative lesson time, including for a short-notice request. Keep admin informed and follow the rescheduling steps above; a mutually agreed new time does not itself decide a fee waiver or teacher compensation.

  • Student cancels: record the facts and notify admin. Do not promise a fee waiver or decide compensation from the calendar label alone.
  • Teacher cancels: notify the family and admin promptly, apologize briefly, and offer realistic alternatives. Do not represent a teacher cancellation as a student no-show.
  • Student does not arrive or answer: attempt the appropriate contact, document the attempt, and follow admin’s agreed wait/escalation instructions. Do not invent a universal wait period or trial-payment rule.
  • Illness: ask for advance notice. If a student is visibly ill on arrival, contact admin and the family; an in-person lesson may need to stop to protect others. Explore a mutually agreed reschedule or approved online alternative if suitable. Do not diagnose the illness or promise its billing outcome.
  • Holiday or extended absence: confirm whether the family is taking the lesson. Notify admin well ahead of travel or tours so a substitute or approved alternative can be explored. A proposed substitute is not confirmed until cleared and accepted.

6. Complete the lesson accurately

After the lesson, open the event and use the available completion/status controls. Review the participants if there is more than one student. Choose the truthful outcome:

  • Attended: the lesson took place.
  • Cancelled: the lesson was cancelled; preserve who cancelled and the notice details in the appropriate record.
  • Missed: use for the applicable no-show outcome under admin’s instructions, not as a substitute for any cancellation.
  • Scheduled: upcoming or unresolved; do not leave past lessons here indefinitely.

Check that the saved status and actual duration are correct. Record brief useful lesson notes where appropriate: what was covered, a practice target, and a question for next time. Keep private administrative or sensitive information out of student-visible notes. If you do not know who can see a field, ask before using it. If something went wrong, describe it factually and contact admin. Do not change lesson duration, service, or attendance to force a particular wage or charge.

7. Month-end review and sign-off

  1. Read the reminder and use the correct month and date range.
  2. Review every assigned lesson, including cancelled, missed, rescheduled, and unresolved scheduled events.
  3. Verify statuses, duration, participants, duplicate events, and notes supporting exceptions.
  4. Compare the earnings or lesson summary with your records. Report discrepancies with exact dates, not only a total.
  5. Complete the sign-off using the provided workflow only when the records are accurate. If something is unresolved, tell admin which entries need correction.
  6. Confirm Melio payment setup if admin has invited you, using the secure Melio invitation/link. Keep payment setup separate from attendance sign-off.
  7. After sign-off, watch for Melio links from admin. Teachers receive Melio/ACH payments the following month, within the first seven days of that month.

Do not mark yourself paid or create a duplicate payment request because funds are not yet visible. Admin reconciles lesson records with Melio payment status. A completion checkmark or an emailed payment notice is not by itself proof that the bank has received the money.

8. Common problems

  • Missing student or home address: ask admin to verify the existing family, student, and location records; do not guess an address or create a duplicate.
  • Wrong service for a combined lesson: stop and confirm with admin before saving any rate-sensitive change.
  • Edit control missing: your permissions or the record state may prevent the edit. Send admin the lesson details and requested change.
  • Calendar and family disagree: preserve the original record, read the correspondence, and resolve the exact date/time before changing it.
  • Month-end total looks wrong: check the date range, lesson statuses, durations, and duplicate/rescheduled events; send the specific discrepancies to admin.

Chapter 03

Website teacher account

For bookings managed on craft-music.com. Reviewed September 6, 2026.

For illustrated navigation and Muse/Hi-Fi screenshots, also see the illustrated website walkthrough in this handbook.

1. Onboarding and navigation

Use the account and invitation associated with your Craft Music teacher profile. The onboarding entry is https://craft-music.com/teacher/get-start and your account is https://craft-music.com/teacher/account. If admin has already created a profile for you, ask before starting another application.

Your sidebar may include Dashboard, Manage Profile, Weekly Online Availability, In-Person ZIP coverage, Lessons, Reviews, Messages, Payouts, Settings, and training guides. Some features depend on your account or lesson type. For illustrated navigation, see the Illustrated website walkthrough chapter in this handbook.

2. Make your profile accurate

In Manage Profile, check your biography, instruments, teaching formats, photo, and any introductory video. Describe only verified experience and qualifications. Use media you have permission to publish. Some changes may need admin review.

Check displayed pricing and available lesson lengths against your agreement; ask admin to resolve differences before offering a new rate. Do not promise a discount or off-platform payment arrangement. Tell admin if your public profile is outdated, mismatched, or not visible after an approved change.

3. Keep availability useful

Review Weekly Online Availability and the displayed time zone. Offer times you can reliably teach, including setup time. Keep in-person coverage realistic: ZIP coverage indicates a service area, not a guarantee that a specific date and time is free.

Before accepting an in-person request, confirm the exact area, travel feasibility, instrument, level, duration, and requested recurring time. Before accepting any booking, check other commitments and the authoritative calendar. A changed general availability window does not by itself cancel a confirmed lesson.

If you will be away, tell admin and affected families in advance. Do not assume a profile or availability edit has notified existing students.

4. Manage lessons and messages

Open Lessons to see the booking, student, scheduled time, and available actions. Use the site’s supported controls for that booking. If you cannot find a requested action, ask admin rather than recreating the event elsewhere.

Keep website booking coordination in the supported website workflow. Check the latest message before replying, confirm the exact date/time and time zone, and make clear whether a time is tentative or confirmed. Do not invite a student to pay privately or migrate the booking to another payment channel.

5. Join the lesson

  1. Open the correct lesson roughly 10 minutes early when the Join action becomes available.
  2. Check the date, student, and room. Close unrelated tabs and notifications.
  3. In pre-join, select the intended camera, microphone, and speaker or headphones. Allow the browser permissions needed for the lesson.
  4. Enter as the teacher and verify that you can hear and be heard when the student joins.
  5. Use the standard Craft room unless this lesson is set up for the Muse studio path. Hi-Fi is an optional audio-sharing mode in the standard room, not a different appointment.

If access fails, report the lesson time, browser, visible error, and steps already tried to admin. Do not send passwords, bank details, or authentication tokens in a screenshot. Agree an approved fallback rather than assuming every website lesson is a Zoom call.

6. Use the Lesson Hub

Open the student’s Lesson Hub from the relevant lesson or student area. Depending on the available view, it brings together the overview/intake, updates, assignments, resources, active work, history, and activity.

Before teaching, review the student’s goals and recent work. After teaching, add a short recap and one clear practice task. Include what to practice, how to approach it, and what to bring next time. Link only materials you are allowed to share.

Check whether you are writing a shared update or private preparation note. Shared updates or assignments may notify the student by email. Do not put internal pay discussions, another student’s information, or confidential administrative concerns in shared fields. Do not assume a private-preparation field is inaccessible to authorized administrators.

Keep assigned work manageable. For a new student, record a starting point and a small achievable goal; for a returning student, check progress before adding more tasks.

7. Confirm the outcome

After the appointment, review the available completion prompt. Confirm a completed lesson only if it happened. Use the no-show or problem-reporting option when appropriate and add a factual explanation.

The current Teacher manual describes completion reminders and automatic completion after approximately 48 hours. Do not rely on that timer to resolve a disputed or unsuccessful lesson. Report an issue promptly so the record and any payment review can reflect what actually happened.

For online lessons, the standard cancellation/rescheduling notice window is 12 hours. For in-home lessons, it is 24 hours, with flexibility and exceptions at the discretion of admin in coordination with the teacher. Teachers may discuss another time with the client and reschedule by mutual agreement, including inside the notice window. Keep admin informed and update the booking through its supported workflow.

An agreed reschedule does not automatically waive a fee or change teacher compensation. Ask admin to resolve any conflict with displayed booking terms and approve financial exceptions. Do not use an attendance label to decide a refund or teacher payout.

8. Understand website payouts

The website payout workflow uses Stripe Connect. Complete the secure connection steps from your own account, and check whether setup is finished. Never send your bank information or identity documents to a general teaching thread.

Review pending earnings, available balance, payout history, and any downloadable statement. The live Teacher manual currently describes a $10 withdrawal minimum. Timing and eligibility depend on the account and applicable agreement; a lesson’s listed price is not necessarily your take-home amount.

Commission terms can vary. Do not infer a universal commission percentage from an old guide, another teacher’s terms, or a screenshot. Ask admin to verify your agreement and the account’s calculation if a figure looks wrong.

9. Before you finish onboarding

With your coordinator, verify the correct public profile, supported booking formats, realistic availability, payout setup, a test room connection, and a sample Lesson Hub update using non-sensitive test content. Do not run a test by charging a real student or completing a real lesson that has not occurred.

Chapter 05

Muse, Hi-Fi and screenshare

An audio and presentation guide for website lessons. Reviewed September 6, 2026.

Choose the right path

Standard Craft room

Start here for ordinary live teaching with microphone and camera.

Muse studio

Use when admin has enabled and arranged the Muse-based studio path for the lesson. Connect the correct Muse host account first.

Hi-Fi in the Craft room

Use to send a DAW or other high-quality audio source while remaining in the standard lesson room.

These are different paths. Enabling Hi-Fi is not the same as connecting a Muse account. Do not change the student’s lesson link merely to experiment with audio routing.

Before the first session

Use headphones to prevent feedback. Connect your intended microphone, interface, or instrument. Close unnecessary audio applications. Test your voice and musical audio with a colleague before a student’s lesson; hearing your own DAW locally does not prove the other person receives it.

Use a current supported browser. If Safari has permission or audio-routing problems, try the guide’s Chrome or Edge fallback. Do not bypass security warnings. Install only from the official vendor or a verified link provided in the current Craft guide, and follow the installer instructions.

Connect Muse when it is required

  1. In the website account, find the Muse Connect card in the available account/settings area.
  2. Open the connection flow. A new tab may ask you to sign in to Muse or create an account.
  3. Review the connection request and link the intended host account. Using the same email can reduce confusion, but the important point is that the correct account is linked.
  4. Return to Craft and verify the connection status and host information.
  5. For a desktop Muse session, sign into that same connected account in the Muse app.
  6. Open the assigned lesson and use the offered browser/app entry path. Do not create an unrelated room and assume the student has its link.

Students can usually join the standard supported browser flow without installing an app. Do not promise that no student will ever need additional setup: a lesson where the student must transmit DAW audio may require its own preparation.

Hi-Fi routing on Mac

Craft’s current source pack uses LitLink from LitPads, not BlackHole, for the Mac virtual-audio setup. Follow the steps below (and the illustrated walkthrough screenshots) rather than an old download link.

  1. Install and set up the official LitLink component as directed. Restart the browser, or restart the computer if requested by the installer.
  2. In your DAW’s audio preferences, route the intended output to the LitLink device shown by your setup. Device labels and monitor routing may vary.
  3. In the Craft lesson, open the professional-audio/Hi-Fi sharing control and choose the corresponding audio input.
  4. Play a short example and confirm activity on the sharing meter. Ask the listener to verify the sound.
  5. Confirm that you can still communicate by voice, and that headphone monitoring is not creating a feedback loop.

Do not replace a working interface setup blindly. If you cannot identify the correct source, stop and ask for a test session with admin.

Hi-Fi routing on Windows

For the VB-CABLE path described in the pack, the endpoint names are deliberately different: DAW output → CABLE Input → CABLE Output → Craft Hi-Fi input.

  1. Use the official VB-CABLE installer and follow its restart instructions.
  2. Select CABLE Input as the DAW output for the audio you want to transmit.
  3. Select CABLE Output as the source in Craft’s Hi-Fi/professional-audio control.
  4. Play a sample, check the meter, and ask the student or test partner to confirm receipt.
  5. Use headphones and check voice/talkback separately.

A virtual cable may change where you hear local audio. Do not keep raising the volume when the real issue is the selected output or monitoring route.

Start and finish a Hi-Fi share

  1. Join the assigned standard Craft lesson and establish normal voice communication.
  2. Open the professional audio-sharing control, select the source, and test a short passage.
  3. Use available microphone mix or talkback controls as needed. If the current interface offers the spacebar talkback control, test it before relying on it.
  4. Start sharing. If the student also needs to see the DAW, share the relevant window separately.
  5. Ask the student to confirm both the audio and the view. Keep volume comfortable and watch for clipping.
  6. At the end, stop sharing and restore the ordinary microphone/output route. Confirm your microphone still works before ending the call.

Present a score, PDF, or image

Opening a file in your lesson interface does not necessarily make it visible to the student.

  1. Close unrelated private material and open the intended PDF or image in the lesson’s document/presentation tool where available.
  2. Check that the displayed page is the one you want to teach.
  3. Use the screen-share control. In the browser chooser, select the relevant lesson or document window rather than the entire desktop when possible.
  4. Complete the browser’s Share action and look for an active sharing indicator.
  5. Ask the student to describe what they see. Navigate or zoom once to verify that their view updates.
  6. Stop sharing before opening another student’s file or returning to private work.

Only share scores, recordings, and other resources that you have permission to use. Do not add unrelated copyrighted course libraries to the training folder.

Troubleshooting in a useful order

  • No voice: check mute, the selected microphone, browser permission, system permission, and whether another application is using the device.
  • DAW audible locally but silent remotely: check the DAW output, the Hi-Fi source, the sharing meter, and whether sharing was actually started.
  • Echo or feedback: use headphones, stop duplicate monitoring, and avoid sending the call’s return audio back into its input.
  • Distortion: lower the source/input gain and check for clipping. Do not change multiple settings at once.
  • Wrong screen visible: stop the share, select the correct window, and ask the student to confirm it.
  • Muse connection does not match: verify the connected host account and the account signed into the app.
  • Permission denied or unsupported device: restart the browser after setup, review permissions, and try the supported browser fallback. Ask admin before installing another driver.

If the issue persists, record the device/operating system, browser, lesson time, selected inputs/outputs, and the visible error. Include only redacted screenshots. Agree an approved fallback with admin and the student rather than spending the full lesson experimenting. See also the illustrated website walkthrough in this handbook.

Chapter 06

Practical checklists

Reviewed September 6, 2026. These are workflow aids, not new cancellation or pay terms.

Before your first lesson with a student

  • Correct teacher account and assigned student verified.
  • Instrument, experience, goals, and any lesson-relevant needs understood.
  • Exact day, date, time zone, duration, location or lesson room confirmed.
  • Correct booking system identified; no duplicate lesson created.
  • Family knows what to prepare and how to contact us if something goes wrong.
  • Travel and setup time checked; suitable test of online equipment completed if applicable.
  • Scheduling confirmation contains no money matters when teacher and family are copied together.
  • Any school/program-specific clearance has been confirmed by admin before teaching.

Before every lesson

  • Review previous work and plan one clear learning goal.
  • Check messages for changes, but do not assume silence means cancellation.
  • Verify the current calendar and location or room.
  • Have the necessary teaching materials and permission to use them.
  • Prepare a quiet environment and protect private information before screen sharing.

After every lesson

  • Record the truthful outcome and correct duration promptly.
  • Add a brief recap and manageable practice task where appropriate.
  • Confirm the next scheduled lesson or state clearly what remains tentative.
  • Notify admin of scheduling changes, unresolved issues, or a risk that the student will stop.
  • Report technical problems with enough detail to reproduce them, without sensitive information.

Weekly schedule check

  • Check upcoming absences and holiday expectations.
  • Resolve tentative arrangements rather than allowing them to become assumed bookings.
  • Keep available times and in-person coverage realistic.
  • Tell admin if a recurring slot is becoming difficult, so we can consider a sustainable alternative.
  • Check whether a planned makeup actually occurred; do not count an offered makeup as completed.

At month-end

  • Use the correct month and date range.
  • Resolve old Scheduled entries and verify Attended, Cancelled, and Missed records.
  • Check sibling/combined lessons, duration changes, duplicates, and reschedules carefully.
  • Report exact discrepancies before sign-off.
  • Complete requested sign-off only after checking the records.
  • Confirm secure payment setup if requested; track setup, submission, and receipt as separate stages.

When to contact admin immediately

Contact admin about an unsafe situation, a privacy incident, a student left without an agreed lesson arrangement, a disputed charge or pay outcome, a missing first-lesson location/link, or a recurring calendar mistake. For an emergency, use appropriate emergency services; do not wait for an administrative email response.

Chapter 07

Practice scenarios and readiness check

Use fictional examples or a coordinator-supervised test environment. Do not edit a live student’s calendar, send a real notification, or trigger a payment for a training exercise.

Discuss these scenarios

  1. A Teachworks family agrees to move only next Tuesday’s lesson. Which event do you edit, what scope do you choose, and what do you inspect after saving?
  2. A parent asks to extend one sibling’s lesson from 30 to 60 minutes. Why is it unsafe to guess the combined service code?
  3. A student is absent and the teacher wants to be paid. What facts should be recorded, and who resolves compensation?
  4. A website booking will happen in person. Should it automatically be copied into Teachworks?
  5. Your DAW sounds correct in your headphones, but the student hears nothing. What do you check first?
  6. You open a PDF in the lesson room. How do you confirm that the student can see it?
  7. You are writing a joint teacher-family email and want to mention a discount. Where should that discussion go?
  8. A payment provider says Submitted. Can you tell the teacher the money is already in their bank?
  9. An old Mailchimp email and the booking terms disagree. Should you choose whichever is more convenient?
  10. A family has already answered by text. What should you check before sending an email follow-up?

Demonstrate the essentials

With your coordinator, show that you can locate the correct lesson, identify its system of record, describe a safe one-occurrence reschedule, record a truthful outcome, find help, and protect a student’s information. Online teachers should also demonstrate voice, musical audio where required, and a confirmed window share.

Readiness is about safe and accurate use of the tools, not memorizing button positions. Mark any unresolved access, audio, or policy question for follow-up before the first affected lesson.

Coordinator completion record

  • Teachworks walkthrough: not needed / complete / needs follow-up
  • Website walkthrough: not needed / complete / needs follow-up
  • Audio and sharing test: not needed / complete / needs follow-up
  • Open questions and owner noted for follow-up
  • Agreed follow-up date set when needed

This is an internal training checklist, not a signature accepting a contract or confirming a payment.
